LEAD TIPS FOR DIGITAL PROVIDERS

Learn simple ways to respond faster, communicate more effectively, and improve your chances of winning digital service work.

HOW TO WIN MORE CLIENTS

Step 1: Email Your Proposal First

We strongly recommend emailing your proposal first.

Many businesses are busy and do not want to be bombarded with unexpected phone calls, which is one of the reasons we leave the phone number optional on our quote forms. Sending your proposal by email gives the client time to review your offer properly and consider it in their own time.

It also means that if you do call them later, they are more likely to understand who you are, what your agency does, and why you are calling. Your proposal email also gives them your contact details, making it easy for them to get in touch if your offer is of interest.

Step 2: If a Phone Number Is Provided, Call 24 Hours Later

If the client has provided a phone number, we recommend calling them around 24 hours after you have sent your proposal.

This gives them a chance to read your email first, while still keeping your agency fresh in their mind. The purpose of the call is not to pressure them, but to open the conversation, build rapport, and answer any questions they may have.

A simple pitch could be:

“Hi, this is John from Sunrise Digital Agency. I’m just following up to see if you received our proposal and whether you had any questions.”

This is a polite, professional way to start a conversation and can often lead to a much better response than sending repeated emails alone.

Step 3: Aim to Book a Zoom Meeting

Where possible, we strongly recommend trying to move the conversation to a Zoom meeting.

Even if you have already communicated by email or phone, many clients feel more comfortable when they can put a face to the project and see who they are dealing with. A short Zoom meeting helps build trust, creates a more personal connection, and gives you a stronger chance to explain your offer properly.

It also allows you to better understand the client’s goals, answer objections in real time, and separate yourself from agencies that only send generic quotes.

Step 4: Follow Up Again After an Agreed Period

After your Zoom meeting, or after your initial email if no meeting has taken place, follow up again after an agreed period.

In many cases, around 5 days is a good timeframe, but this may vary depending on the project. It helps if you let the client know in advance that you will follow up after a certain number of days.

This keeps communication professional, makes your follow-up feel more natural, and shows that you are organised and serious about the opportunity.

Step 5: Learn From Every Lead

If you do not win the job, do not just move on without learning something from it.

Where appropriate, politely ask the client for feedback. A short message asking why they decided to go in another direction can sometimes reveal valuable insights about your pricing, proposal, offer, branding, or communication style.

You can also contact us if you would like feedback on your agency. We may be able to review how your business is coming across and offer advice on areas that could be improved to help you win more work in the future.

EXTRA TIPS TO HELP YOU WIN MORE WORK

Respond Quickly

Speed matters. Providers who respond quickly often give themselves a better chance of starting the conversation first. Even if your full proposal takes a little longer to prepare, it can still help to send a quick acknowledgement email so the client knows you are actively working on their enquiry.

Keep Your Proposal Clear and Easy to Understand

Do not overload the client with too much jargon, too many technical details, or long blocks of text. Keep your proposal simple, clear, and focused on the solution you are offering.

The client should quickly understand what you are offering, how it helps them, how long it may take, and what it will cost.

Personalise Your Response

Avoid sending the exact same proposal to every lead. Refer to the client’s business, project, or goals where possible. A personalised response shows that you have actually read the enquiry and that you are taking their project seriously.

Focus on Their Outcome, Not Just Your Services

Many providers spend too much time talking about themselves. Instead, explain how your service will help the client. This could be more enquiries, stronger branding, more visibility, improved trust, better conversions, or a more professional online presence.

Clients are usually more interested in the result than the service list.

Keep Your Pricing Clear

Unclear pricing can lose jobs. Make sure your quote explains what is included, what is optional, whether there are any ongoing costs, and what the client can expect at each stage.

When pricing is easy to understand, the client is more likely to feel comfortable moving forward.

Build Trust With Social Proof

If you have testimonials, portfolio examples, case studies, before-and-after results, or a professional website, use them. Clients often compare multiple providers, so trust signals can help you stand out and look more credible.

Be Professional, Not Pushy

There is a big difference between good follow-up and pressure. Stay polite, confident, and easy to deal with. Many clients are still deciding, and the agency that feels the most professional and trustworthy often leaves the strongest impression.

Ask Good Questions

The agencies that win work are often the ones that ask thoughtful questions. This shows the client that you care about the project and are not just rushing to sell. It also helps you prepare a more relevant and persuasive proposal.

Offer a Clear Next Step

Do not leave the client wondering what to do next. Invite them to reply, ask questions, schedule a call, or book a Zoom meeting. The easier you make it for them to move forward, the better your chances of continuing the conversation. Give them a clear next step.

Stay Consistent

Not every lead will convert, and not every client will respond straight away. Winning more work often comes down to doing the basics well and staying consistent over time.

OTHER IMPORTANT THINGS THAT MATTER

Do Not Send Giant Copy-and-Paste Proposals

Many clients can tell when they are receiving a generic template. A proposal that is too long, too broad, or clearly copied and pasted can be a turn-off. Keep it relevant, personalised, and easy to read.

Use a Real Business Email Address

Try to send your proposal from a branded business email address rather than an unprofessional personal email. A proper domain-based email can help build trust and make your agency look more established.

Include Examples or Proof Where Possible

If you have examples of similar work, relevant results, or a portfolio link, include them. This gives the client more confidence in your ability and helps bring your proposal to life.

Review Your Website and Brand if You Are Not Winning Jobs

Sometimes the issue is not the lead itself, but how your agency is coming across online. If you are regularly missing out on work, review your website, branding, testimonials, proposal quality, and communication style.

A strong lead will still be hard to convert if the client does not feel confidence in your brand.

FINAL ADVICE

Winning more jobs is rarely about one magic trick. It usually comes down to responding quickly, presenting your agency professionally, building trust, following up properly, and making it easy for the client to say yes.

The providers who tend to perform best are usually the ones who communicate clearly, stay organised, personalise their approach, and treat every lead like a real business opportunity.
